After your university's Erasmus office informs you that you have been selected to study at Hacettepe University within the scope of Erasmus+ program, please fill out the ‘Student Affair Office Form’, ‘Application Form’ and ‘Accommodation Form’ (if you are planning to stay on-campus) send them together a copy of your ‘Passport’ until June 15th (fall semester), December 15th (spring semester) to erasmus@hacettepe.edu.tr

Acceptance Letters will be prepared and sent by e-mail after June 15th (fall semester), December 15th (spring semester).

Please arrive to campus on weekdays between 8:30 – 17:00. The security department will be informed about your arrival.
In order to issue Hacettepe University Identification Card (HU Id card), undergraduate students should apply to Beytepe Student Affairs Office, Foreign Students Office (in Turkish Öğrenci İşlerDaire Başkanlığı, Yabancı Öğrenci Ofisi); graduate students (Master/PhD) should go to related Institute for course registration and Hacettepe Id card application. It is located on the ground floor of Rectorate Building.
The necessary information about course registration and ID card application will be given to you by the responsible person. All students need to have Hacettepe Id card. During the semester you will use your Hacettepe ID card to eat at the cafeterias, to barrow books from Library, to enter the campus, for transportation etc.
All incoming students must have health insurance. Just for information, the coverage of your health insurance should be as follows: 20.000 Euros for inpatient and 2.000 Euros for outpatient stay. This coverage is required by Ankara Migration Office in order to apply for resident permit. If you haven’t sent it yet, please send scanned copy of your Health Insurance Policies/Cards (English version is required) before your arrival. If you don’t have it yet, you can have your insurance after arrival in Ankara, too. Please don’t forget to send the English version of your Health Insurance to erasmus@hacettepe.edu.tr as soon as you have it.
After completing procedures such as course registration, ID card application, you need to start collecting the documents for residence permit application, please read the information at the link under “Residence Permit / Vize ve İkamet İzni” carefully and start preparing the documents https://internationalstudent2.hacettepe.edu.tr/en Please remind that Erasmus students are “short term / exchange” students. First of all, you need to collect the necessary documents for resident permit application, then you will give the documents to Mrs.Neşe Çetin
nesecetin@hacettepe.edu.tr at Beytepe Student Affairs Office, Foreign Students Office “Beytepe Öğrenci İşleri Daire Başkanlığı”. She is responsible for residence permit application of foreign students at Beytepe Campus.
Some universities require “Arrival Certificate”. If you have “Arrival Certificate” given by your university, you can send it to EU Office by e-mail, or bring it to the office.
You may get course schedule from the secretary of the department.
If you haven’t prepared your Learning Agreement yet please contact with the departmental Erasmus Coordinator at Hacettepe University. After semester starts you have approximately 2 weeks to make changes on your LA if you need any. Your departmental coordinator at Hacettepe University should sign the LA and changed one first then you should send it to me for final stamp. Then your LA will be sent to your home institution by EU Office for approval.
Before departure (At the end of study period)
A couple of days prior to your departure you need to close your account at Hacettepe University before you leave.
Undergraduate students need to go to Registrars Office (Öğrenci İşleri Dairesi Başkanlığı- Yabancı Öğrenci Ofisi); graduate students need to go related Institute and also RegistrarsOffice (Öğrenci İşleri Dairesi Başkanlığı- Yabancı Öğrenci Ofisi) to close their account at Hacettepe University. A paper called "Release Form" - in Turkish "İlişik Kesme Formu" will be given to you. The responsible person will explain the procedure to you. You need to go to Library, Student Health Center, Dormitories/Student Houses at Beytepe (even you haven't stayed there) to have signatures. Finally come to EU Office to get signature for EU Office. After having all the signatures you need to give the paper back to Registrars Office/Institute together with your Hacettepe ID card.
Registrars Office/Institute send the transcript of records probably one month after final exams. Please keep in mind that students who returned their ID cards and also signed released form before leaving Hacettepe University are sent by Registrars Office/Institute.
